Full Job Description

The Interim Corporate Services Manager will be integral to developing and implementing efficient and effective business processes and procedures for the newly established ASA Office at the Australian High Commission in London (ASA-L). This temporary position will focus on providing support to the senior ASA staff and will ensure the ASA office's administration is operating effectively and able to support on-going engagement with United Kingdom Defence, Government, and industry organisations on matters relating to the SSN-A and AUKUS partnership.,

  • Support senior ASA officers during this transition period to identify, implement and document standard operating procedures to effectively manage the office administration.

  • Working in consultation with the Defence Administration Office (DAO) and the DFAT Corporate Services teams in London, identify and implement necessary corporate governance activities to deliver effective financial management and personnel support required to run an efficient office.

  • Establish procedures to effectively manage the budget including: budget forecasts and bids, monitoring of expenditure, end of month reconciliations and the provision of periodic and ad-hoc reports as required.

  • Ensure activities such as travel coordination and financial claims are managed appropriately, including delivering training to officers on various self-service procedures, such as supplier payments and credit card acquittal.

  • Establish standard operating procedures regarding the administration of ASA's governance responsibilities, including maintaining the Business Plan, Fraud Control Plan and Defence Asset Register as well as audit and compliance reporting.

  • Establish a master list of ASA stakeholders and contacts to support engagement and planning with clear procedures for on-going maintenance.

  • Assist with the coordination of official visits, prepare guidelines to support future visit facilitation and train staff as required.

  • Assist with the coordination and planning of staff movements and the arrival/departure of Defence staff at Post, prepare guidelines to support induction and off-boarding procedures and train staff as required.

  • Coordinate the electronic document record management system (Objective) ensuring the appropriate classification and filing of documents and providing staff training as appropriate.

  • In consultation with senior ASA officers and HR, support the recruitment and handover to a new on-going position responsible for the day-to-day office administration., We are looking for a temporary Corporate Services Manager to develop and implement efficient and effective business processes and procedures for the newly established ASA Office at the Australian High Commission in London (ASA-L).

    Proficient administration skills, including ability to collage information for reporting purposes.

  • Demonstrated ability to build productive relationships and work effectively in a small team.

  • Experience in financial management and governance.

  • Excellent written and spoken communication skills in English are essential.

  • Intermediate level in MS Excel and proficient in the use of the Microsoft Office suite including MS Word.

  • Prior experience working for the Department of Defence or another government department and a familiarity with the operating environment of an overseas mission would be advantageous.

  • Knowledge or understanding of ASA's role in the government and how it relates to business in the UK would be desirable.


  • General Requirements
  • Must hold a current Australian national security clearance to Negative Vetting Level 1 as a minimum.

    D. Demonstrated ability to manage a budget, provide relevant financial and budgetary reports, and ensure compliance in line with relevant legislation and internal financial policy.

    E. Prior experience working for the Department of Defence or another government department or understanding of the operating environment of an overseas mission.
