Full Job Description

An exciting opportunity for a well organised individual to join our Operations team. Your responsibilities will be to provide all our clients with a high quality and first-class experience; whether via telephone, email or in person. You will be the first point of contact for our visitors therefore we require someone who is friendly, efficient and who understands the importance of customer service.

You will expected (but not limited) to deal with incoming calls, greeting all visitors to the facility, signing in visitors, receiving post & parcels, preparing the reception for the day, pass on messages to other staff effectively, occasionally prepare meeting rooms with refreshments as well as a variety of admin and data processing duties.

This can be a full or part time role, but you will be required to be in the office Monday-Friday for the core hours of 9 a.m. to 3 p.m. (these times can be adjusted slightly if needed)

Job Responsibilities:

  • General Reception Duties - General hospitality and security of ALL visitors.

  • Distribution of security passes and visitor guides

  • Primary phone answerer.

  • Data Entry

  • Archiving - with support from the admin team.

  • Post - sending external post

  • Sales emails - assisting with the distribution of sales emails.

  • Room Bookings and arranging buffet lunches.

  • Helping other teams (as agreed with Senior Administrator) with general admin tasks Successful and timely completion of Apprenticeship (if applicable)

    The successful candidate will be computer literate with a working knowledge of Outlook, Excel and Word and have experience in front of house, client facing customer service. You will have the ability to prioritise in a busy environment and be willing to help support the team. You will need to develop your knowledge of the business in terms of the various industries and products and services we offer. You will be a cheerful self-starter who can be trusted to work independently and be the first point of contact for our clients and visitors.
